When you’re managing a construction or renovation project, signage is one of the most visible finishing touches—but permitting is often one of the first areas that can throw your schedule off. At Sign Effectz, we’ve built our process around eliminating those surprises. Few people understand that terrain better than our permit expediter, J’kayla Hodges.
Why Turnaround Times Catch Contractors Off Guard
According to J’kayla, the biggest surprise for contractors is how inconsistent permitting can be across municipalities. “What surprises them the most is the variability in turnaround time. Every municipality has different requirements. Some permits are approved in a day—sometimes it takes a few weeks.”
That variability affects far more than scheduling. That’s why we front-load our research long before drawings ever reach a reviewer.
Using a Sign Specification Manual to Avoid Rework
Because different municipalities enforce size limits, lighting rules, and zoning requirements differently, we’ve developed an internal sign specification manual to stay ahead of potential issues. As J’kayla explains, “We created it as a reference tool to support internal communication. It saves time, prevents delays and change orders, and keeps us from exceeding square footage restrictions in different communities.
This level of preparation dramatically reduces rework and keeps projects aligned with local code from the start.
When Local Relationships Make All the Difference
Preparation matters, but familiarity with local processes can be just as valuable. J’kayla described a recent downtown Milwaukee project requiring a lane closure during installation that had a self-imposed 10-day window for permit approval.
“Because we’re established and have relationships with Milwaukee, we knew who to contact. If they have the time, they can help expedite the process. Those contacts make a huge difference. It also helped that this job opened up at the right time on our schedule.”
In high-traffic or highly regulated areas, knowing the right people—and the right questions to ask—helps keep timelines intact.
The Importance of Accurate Site Information
One of the easiest ways contractors can speed up permitting is by providing complete site information early. “Measurements, dimensions, and clear drawings are incredibly helpful.”
Accurate data eliminates revisions, which in turn eliminates delays.
Reassessing Common Misconceptions About Permits
Some contractors assume municipalities will be flexible or that past approvals can predict future outcomes. Not always. “Contractors sometimes underestimate how strict some municipalities can be with their pushback. Being accurate with the municipality upfront—materials, installation details—reduces the risk of denials and delays.”
This is especially true for illuminated signage, dimensional upgrades, or anything near a property line.
J’kayla’s Best Advice for Smoother, Faster Approvals
Her go-to strategy is simple: get familiar with the area. “Do thorough research on the municipality and the surrounding area. Look at nearby signs. Imagine you’re standing on site and ask yourself, ‘Can you even see this sign from the road?’”
That kind of practical, on-the-ground thinking leads to better designs and smoother approvals.
